Not every invitation gets accepted right away—people miss emails, invitations land in spam folders, or someone simply hasn't gotten around to setting up their account yet. Rather than leaving administrators guessing, Hoicko provides a clear view into exactly which invitations are still outstanding.

Where to find pending invitations

All outstanding invitations are listed under Admin Panel > Team > Pending. This view shows, for each pending invite, the email address it was sent to, the role that was assigned, and how long ago the invitation was originally sent — useful context for deciding whether it's time to follow up.

Resending an invitation

If someone reports they never received their original invite email — a common occurrence, especially with corporate spam filters — administrators can resend the invitation directly from this screen with a single click, without needing to recreate it from scratch or worry about generating a duplicate account.

Cancelling an invitation

Sometimes an invitation is no longer needed—perhaps the person changed roles before joining, or the invitation was sent to the wrong email address entirely. Pending invitations can be cancelled at any time from the same screen, which immediately invalidates the original invite link.

Setting expectations around invitation follow-up

A reasonable operational habit is to check the Pending Invitations list roughly a week after any bulk invite round, following up individually with anyone who still hasn't accepted. This is particularly useful during larger department-wide rollouts, where it's easy for a handful of invites to slip through the cracks unnoticed.
