Companies restructure—new departments get created, teams merge, and position titles change. Hoicko HRMS treats your org chart as a living structure rather than a one-time setup step, so updates here flow through to reporting lines and dashboard visibility without needing to rebuild anything from scratch or re-run the initial setup wizard.
That said, restructuring in a live system is different from building it fresh, mainly because employees are already linked to the nodes you're changing. Deleting a department that still has active employees assigned to it, for instance, doesn't automatically move those employees anywhere—it just removes the node they were pointing to. Planning a restructure with that in mind (moving people first, deleting empty nodes second) avoids leaving employee records in a confusing state.
Step-by-step:
- From the HRMS dashboard, open Department Structure.
- To add a new team or position, click the + icon next to the parent node it should sit under.
- To rename a node, click directly into its name field and update the text — this is useful when a department is renamed but its people and function stay the same.
- To remove a node, click the trash icon next to it. Note that removing a parent node affects everything nested beneath it, so move or reassign sub-nodes first if the deletion isn't meant to remove the whole branch.
- To move a position from one department to another, delete it from the old location and re-create it under the new parent node, then update any employees who were assigned to the old position.
- After restructuring, open Employee Management > Employee List and check whether any employee profiles still reference the old structure, updating their Department field where needed.
- Changes to the structure itself save automatically and are reflected immediately the next time an employee's Department field is viewed or edited.
FAQ
Will restructuring affect existing employee assignments?
Employees keep their existing department link unless you manually reassign them, so it's important to update employee profiles after a major restructure rather than assuming the system will re-map them automatically.
Is there an undo option if I delete a node by mistake?
There's no automatic undo—re-create the node with the same name and re-nest any sub-nodes if a deletion was accidental. This is one more reason to double-check before deleting a node with a lot of structure beneath it.
Can I reorganize without disrupting attendance or leave data that's already recorded?
Yes—historical attendance and leave records stay associated with the employee, not the department node itself, so restructuring doesn't erase or corrupt past data even if you rename or move the department an employee used to belong to.
