Customizing Board Columns
Updated 8/24/20262 min read
Columns are what define exactly what information a board actually tracks, and getting them right — not too many, not too few, capturing exactly what your team needs and nothing extraneous — has a real effect on how usable a board feels day to day.
How to add a new column
- Click the "+" icon at the end of your existing column headers.
- Choose a column type appropriate to the kind of data you want to capture—options typically include Status, Person, Date, Number, Text, and Dropdown.
- Name the column clearly, using a label your whole team will immediately understand without needing an explanation.
- Configure any type-specific settings—for example, a Status column lets you define the specific label options and their associated colors.
Understanding the common column types
- Status — a set of predefined labels (e.g., "Not Started," "In Progress," "Done"), often color-coded, ideal for tracking progress at a glance
- Person — assigns a specific team member as the owner or responsible party for that item
- Date — captures a specific date, commonly used for due dates or scheduled events
- Number — for numeric values like deal size, hours logged, or quantity
- Text — free-form text for notes, descriptions, or details that don't fit a structured format
- Dropdown — a fixed set of selectable options, useful for categorization (e.g., priority level, department, region)
Reordering and removing columns
Columns can be freely dragged into a different order to reflect the sequence that makes most sense visually for your team — commonly, columns are ordered from most-frequently-referenced (like Status and Owner) toward less-frequently-referenced supporting detail. Columns that are no longer needed can be removed via right-click, though it's worth confirming no critical historical data lives exclusively in that column before deleting it.
A practical tip on column discipline
It's easy, over time, for a board to accumulate more and more columns as different people request small additions for their own tracking purposes. A board with thirty columns is often far less useful than one with eight well-chosen ones — periodically reviewing and consolidating or removing unused columns keeps a board genuinely usable rather than cluttered.
