Building a Payroll Summary Report
Updated 8/24/20261 min read
Finance and HR often need the same payroll information but rarely have it presented in a shared, mutually understandable format — a payroll summary report exists to bridge that gap.
How to build the report
- Open the Payroll dashboard inside Hoicko HRMS.
- Filter the view by the specific pay period you want to review — weekly, biweekly, or monthly, depending on your company's payroll cycle.
- View the resulting totals broken down clearly by Processed and Pending status, giving an immediate sense of how far along the current payroll cycle actually is.
Who typically uses this report, and why?
HR uses this report to confirm that every eligible employee has actually been included in the current cycle, catching any accidental omissions before payments go out. Finance uses the same report to reconcile total payroll spend against budget, without needing to request a separate export from HR each cycle. Because both teams are looking at the same live data rather than two separately maintained spreadsheets, discrepancies between HR and Finance records become far less common.
A practical review habit
Checking the payroll summary report a few days before each pay run — rather than only after payments have already gone out — gives HR a window to catch and correct any pending items (a missing new hire, an incorrect pay rate) before they become a harder-to-fix, post-payment correction.
FAQ
Can a payroll report be filtered by a specific pay period?
Yes, payroll reports can be filtered by date range or specific pay cycle.
Why is a shared payroll report useful for both HR and finance?
It reduces discrepancies between separately maintained records, since both teams reference the same live data rather than manually reconciling separate exports.
