User Roles & Access in Dealer Portal
Updated 8/25/20263 min read
Hoicko Dealer Portal uses role-based access control (RBAC), meaning the tabs, KPI cards, and Quick Access apps you see are determined entirely by your assigned role — not everyone logging in sees the same portal.
Common roles and what they typically access:
| Role | Primary Access |
|---|---|
| Purchase Head / Purchaser | Open PR, Assign Vendor, RFQ, Live Auction, Quotation Comparison & Approval, PO generation |
| Vendor / Dealer (external) | Vendor Registration, Registration Form Update Request, quotation submission, ASN updates for their own orders |
| Gate Security Staff | Gate Entry, Gate Rejection |
| Store / Warehouse Staff | Store Certification, Store MIGO |
| Admin / Approver | Vendor Approval, Registration Form Update Request review queue, analytics and system settings |
| Facility/Reception Staff | Visitor Management (Active Visits, Approved/Rejected Visits, Visitor History) |
Direct answer: Your assigned role determines which top-tabs and Quick Access cards appear on your dashboard — if a module is missing from your screen, it almost always means it isn't part of your role's permissions, not that the module doesn't exist.
How role-based access benefits your organization:
- Data security: Gate security staff, for example, don't need or get visibility into vendor bank details or PO pricing.
- Reduced clutter: Users only see the handful of screens relevant to their daily job, instead of a confusing full list of every possible module.
- Clear accountability: Because actions are tied to specific roles, an audit trail naturally shows who approved what, and when.
What to do if your role seems wrong:
- Confirm with your reporting manager or portal admin what role you were supposed to be assigned.
- Raise a request through Quick Actions → Integration or contact your internal IT/admin team to update your role.
- Once updated, log out and log back in (or refresh) to see the corrected set of modules.
A closer look at how roles map to real screenshots: In the Vendor Approval list, the reviewing role sees financial-adjacent fields like Company Type and Vendor Code, but in Gate Entry, the same information isn't shown — the Gate Entry Check Form focuses purely on physical declarations (truck damage, driver sobriety, cargo, documents) relevant to that specific role's responsibility.
Frequently Asked Questions
Can one person have more than one role, like both Purchaser and Approver?
Yes, combined or multiple roles are common in smaller teams — access is simply the union of permissions assigned to that user.
Do vendors see internal pricing benchmarks like "Average price" during auctions?
No — sensitive internal-only insights (like Savings Insight and price benchmarks) are visible to internal purchasing roles, not to vendors.
Who can approve a Registration Form Update Request?
Typically an Admin/Approver role reviews and marks these Approved or Rejected with a remark.
If I switch departments, does my old role's data disappear?
No — historical records you created or acted on remain in the system; only your going-forward access changes based on your new role.
Can a vendor see another vendor's quotation or pricing?
No — vendor-facing screens are scoped so vendors only see their own submissions, never a competitor's pricing, ensuring fair competition.
Does a higher role automatically include lower-role permissions?
Not necessarily automatically — roles are typically configured with their own specific permission sets, though organizations often design senior roles (like Purchase Head) to include broader visibility across related screens.
