Understanding the Home Dashboard

When you open any module in the Hoicko Dealer Portal, the home screen greets you with a KPI summary bar at the top — a row of live counters relevant specifically to that module, refreshed in real time as records change.

Examples of module-specific KPIs:
- Purchase Requisition/RFQ to Order: Active Purchase Requisitions, Pending Vendor Assignment, Quotations Under Review, Purchase Orders Generated.
- Vendor Registration & Approval: counts tied to pending vs. approved registrations.
- Visitor Management: Currently On Site, Today's Check-ins, Rejected This Month, Avg. Visit Duration.
Below the KPI bar are two consistently placed panels:
- Quick Access Application: A grid of shortcut cards (e.g., Open PR, Assign Vendor, Request for Quotation, Live Auction, Purchase Requisition History, Rejected PR, Sourcing List). Each card includes a one-line description of what it does, and a small share/link icon to open it directly. A badge (e.g., "8 Apps") tells you the total count of shortcuts available.
- Quick Actions: Smaller shortcut icons for support-style, cross-cutting tasks — Feedback, Complaint, Report Bug, and Integration requests — available regardless of which main module you're in.
Why this dashboard design matters: Instead of forcing users to memorize menu paths, the portal surfaces the most relevant actions for each role directly on the home screen. A purchaser logging in first thing in the morning can immediately see "4 Pending Vendor Assignments" and click straight into that queue without any extra navigation.
How to read the KPI cards correctly:
- Each card has a label at the top in small caps (e.g., "PENDING VENDOR ASSIGNMENT").
- Below it is a large number — this is a live count, not a historical average.
- A small icon on the right (matching the card's theme color) visually reinforces what the metric represents.
- Numbers update as records change status — for example, once a vendor is assigned, "Pending Vendor Assignment" decreases by one and reflects instantly on refresh.
A worked example from the live dashboard: With Active Purchase Requisitions at 124, Pending Vendor Assignment at 4, Quotations Under Review at 118, and Purchase Orders Generated at 31, a purchaser can immediately understand: most PRs already have vendors and quotations moving (118 under review), only 4 require urgent attention today, and about a quarter of total requisitions have already converted into finalized POs.
Frequently Asked Questions
Why do my KPI numbers show 0?
This usually means no records currently exist in that status for your account or role — for example, no visitors are on-site right now, or no PRs are pending vendor assignment.
Do KPI numbers update automatically, or do I need to refresh the page?
They reflect near real-time data; if a number looks outdated after you've taken an action, a manual page refresh will sync it.
Can I customize which KPIs appear on my dashboard?
KPIs are tied to the module and your role rather than being individually customizable — different modules will always show different, relevant KPI sets.
What's the difference between the KPI bar and the Analytics module?
The KPI bar shows a quick real-time snapshot for the module you're currently in; the Analytics module provides deeper historical trends, comparisons, and exportable reports across modules.
Is the home dashboard the same for every user role?
No—the KPI cards, Quick Access apps, and even the number of "Apps" shown will vary depending on what your assigned role is permitted to access.
Should I check my dashboard KPIs every day?
Yes — for active procurement or operations roles, a quick daily glance at KPIs like Pending Vendor Assignment or Currently On Site is the fastest way to catch anything requiring same-day action.
