Tracking Deal Conversion Rates
Updated 8/24/20261 min read
While an overall Win/Loss Ratio tells you how many deals ultimately close, it doesn't tell you where in the pipeline deals are being lost — and that distinction matters enormously for figuring out what to actually fix.
How to track stage-by-stage conversion
- Open the Pipeline Report inside Hoicko CRM.
- View the percentage of deals successfully moving from one stage to the next—for example, what percentage of "Contacted" deals actually reach "Negotiation."
- Look specifically for stages with an unusually high drop-off rate compared to the stages around them.
Why stage-level detail changes what you do next
If your overall win rate is lower than you'd like, the fix looks completely different depending on where the drop-off is actually happening. A sharp drop-off between "Demo Scheduled" and "Demo Completed" points toward a scheduling or no-show problem. A drop-off between "Proposal Sent" and "Negotiation" points toward pricing, positioning, or competitive pressure. Without stage-level conversion data, teams often guess at the cause and fix the wrong thing.
A practical habit worth building
Reviewing stage-by-stage conversion on a monthly cadence — rather than only when a leader specifically asks for it — helps a sales team catch a developing problem (like a newly introduced step in the process causing unexpected drop-off) early, before it meaningfully affects quarterly numbers.
FAQ
Can I see conversion rates for each individual pipeline stage?
Yes, the Pipeline Report breaks down conversion percentages stage by stage.
Why does stage-level conversion data matter more than an overall win rate?
It reveals exactly where in the process deals are being lost, allowing a team to fix the specific bottleneck rather than guessing at the cause.
