Inquiry Management: Dashboard, Creation & Stage Workflow
Updated 8/13/20262 min read
The Inquiry Dashboard lists every inquiry with real-time status and automatically receives converted leads without any manual re-entry; a new inquiry is created with full commercial and logistics detail, and progresses through five stages — Qualification, Needs Analysis, Proposal, Negotiation, and Closed.
Why the Inquiry stage exists separately from the Lead: a Lead captures interest — someone wants to know more. An Inquiry captures commitment — specific products, specific quantities, specific commercial terms like Incoterms and ports of loading/discharge, tied to real SAP master data. Splitting these two stages means your pipeline reports distinguish cleanly between "people we're talking to" and "deals actively being priced and negotiated."
Inquiry Dashboard—key highlights: all inquiries shown with real-time status tracking; converted leads auto-flow into inquiries with zero manual re-entry; stage-based filtering and search across the whole inquiry base; Sales Representative, Sold-To Party, and Ship-To Party are all tracked per inquiry, so ownership and delivery destination are visible at a glance.

Creating a new inquiry—full field breakdown:
An inquiry can be created independently via Inquiries → New Inquiries or arrives automatically from a converted lead. Either way, the form captures:
- Sales details — Sales Representative, Process Type, Sold-To Party, Ship-To Party, Sales Area, Sales Organization, Distribution Channel, Division, Sales Office, Sales Office Name, Sales Group, Sales Group Name, Sales Employee Code/Name
- Commercial terms — Payment Terms, Payment Terms Description, Inco Terms, Inco Terms Name, Currency
- Logistics — Country Port of Loading, Port of Loading, Country Port of Discharge, Port of Discharge, Final Destination, Final Place of Delivery
- Dates — Required Delivery date, Expiry Date
- Customer detail — Customer Reference, Contacts
- Product Inquiry table — Material, Product Details, Quantity, UOM, Packaging Type — supports multiple product lines per inquiry

Every dropdown here (Sales Office, Payment Terms, Inco Terms, Ports, etc.) is pulled from SAP-synced Master Boards, which is why the form is described as fields associated with SAP sync Master tables — you're not typing free text, you're selecting from validated, consistent options.
Inquiry Details & Stage Workflow: once created, the inquiry's detail screen shows its current stage on a visual tracker — Qualification → Needs Analysis → Proposal → Negotiation → Closed — alongside four information panels: About (core inquiry data), SAP (SAP-linked references), Get-In-Touch (contact/communication history), and History (full audit trail). From this same screen, users can generate a quotation, upload files, and collaborate via comments — mirroring the same activity-and-collaboration pattern used on the Lead detail screen.

FAQ
- Do all inquiry fields need to be filled manually?
No—most commercial and logistics fields are selected from SAP-synced dropdowns rather than typed, reducing errors and keeping data consistent with SAP.
- What's the difference between a sold-to party and the ship-to party?
Sold-To Party is the account being commercially billed; Ship-To Party is where the goods are physically delivered—these can be the same organization or different ones (e.g., a head office vs. a warehouse).
