How to Register a New Vendor

New vendor registration is done through the Vendor Registration tab, using a guided multi-step form covering 14 sections — including Company Details, Registered Address, Contact Person, Manufacturers, Traders, Top Customers, Certification, and Bank Details.

Full step-by-step process:
- Open Vendor Registration & Approval → Vendor Registration from the top navigation.
- You land on Step 1: Company Details. Enter Company Name, Owner Name, and select Organisation Type (manufacturer, Trader, or Service Provider).
- Select Company Type (Firm or Company), and optionally add Company Website, Corporate Identification Number (CIN), and CIN Date.
- Enter the Established Year (mandatory) and mark the First Time Supplier checkbox if this vendor has never supplied to your organization before — this flags the profile for extra verification during approval.
- If applicable, fill the Is Existing Supplier field and any custom New Field your organization has configured.
- Click Next to proceed to Registered Address — enter the complete legal business address.
- Continue through Contact Person — the primary point of contact's name, designation, phone, and email.
- Move through Manufacturers and Traders sections — relevant product or trading categories, only applicable based on the Organisation Type selected in Step 1.
- Complete Top Customers — listing reference clients strengthens the vendor's credibility during internal review.
- Fill Certification — any quality, safety, or compliance certificates the vendor holds.
- Complete Bank Details — account information required for future payment processing.
- Continue through the remaining steps until all 14 sections show a green progress bar at 100% on the left panel.
- Review all entered information one final time using the step list on the left — any section still below 100% needs attention before submission.
- Once every section is complete, submit the form. It moves out of "draft" and into the Vendor Approval queue for internal review.
Why the step tracker matters: The left panel lists all 14 sections with live completion percentages, so a vendor (or the internal staff assisting them) always knows exactly what remains. This also means registration can be paused and resumed later without losing already-entered data — completed sections stay locked in at 100% even if you log out and return days later.
Common mistakes to avoid:
- Skipping the First Time Supplier checkbox when it should be marked — this affects the verification path.
- Leaving mandatory fields (marked with a red asterisk) blank, which blocks progression to the next step.
- Entering an incomplete or informal company name instead of the full legal registered name, which can cause mismatches during document verification.
- Rushing through Manufacturers/Traders sections without accurately listing product categories — this data directly feeds the Sourcing List later, so inaccuracies here can cause the vendor to be missed for relevant future RFQs.
How registration progress is visually communicated: Each of the 14 steps in the left-hand tracker — Company Details, Registered Address, Contact Person, Manufacturers, Traders, Top Customers, Certification, Bank Details, and further steps — displays both a checkmark (once complete) and a percentage bar. A vendor midway through registration will see a mix of green (100%) and empty (0%) bars, giving an immediate, honest picture of how much remains.

Can I save a registration and finish it later?
Yes — sections already completed retain their 100% status on the progress tracker, so you can return anytime and continue from where you left off.
What happens after I submit my registration?
It moves into the Vendor Approval queue, where an internal reviewer verifies your details and documents before marking your profile Approved and issuing a Vendor Code.
How long does approval usually take?
This depends on your organization's internal review process, but having all 14 sections fully and accurately completed (especially Bank Details and Certification) is the biggest factor in avoiding delays.
Can I edit my registration after submitting it?
Once submitted and approved, direct edits aren't made to the original form — instead you raise a Registration Form Update Request for any changes.
Is registration mandatory even for a one-time supplier?
Yes — the portal requires every vendor, regardless of order frequency, to complete registration and approval before being assigned to any purchase requisition.
What does "Organisation Type" affect later in the process?
It determines which supplementary sections (like Manufacturers vs. Traders) are relevant and can influence how the vendor is categorized in the Sourcing List later.
What if I accidentally close the browser mid-registration?
Since completed sections are saved with their progress percentage, reopening Vendor Registration should let you resume from your last completed step rather than starting over.

The steps are generally designed to be completed in sequence (using Next/Previous), though the underlying data for each section is independent—the sequence mainly ensures nothing important gets skipped.
