Contact Management

The Contact Dashboard centralizes every contact across all accounts and leads, showing Department, Designation, Email, Mobile Number, and linked Account in one searchable grid; new contacts are created through a structured form linking them to a Lead and/or Account.
Why contacts get their own dedicated management layer: an account is an organization, but you never actually talk to an organization—you talk to a person inside it. Hoicko CRM separates Contacts from Accounts specifically so that one organization can have multiple stakeholders (a procurement manager, a finance contact, and a logistics coordinator), each with their own communication history, while still rolling up under the same account.
Contact Dashboard—key highlights: centralized contact listing and management across the entire CRM; Department, Designation, Email & Mobile Number visible at a glance without opening each record; Lead and Account mapping visible per contact, so relationship context is never lost; quick search and filter access for fast lookup.

The Contact Detail View: opening any contact shows its About panel (Name, Department, Designation, Accounts), quick-action icons for Ticket, Call, Visit, and Email (identical to the activity pattern on Lead and Account records), and two linked-record panels — Leads and Accounts — showing every record this person is connected to. A Files panel lets you upload documents (business cards, signed agreements, etc.) directly against the contact.

The seven areas that make up complete contact management in Hoicko CRM:
| Area | What It Covers |
|---|---|
| Linked Records | The contact stays connected to every lead and account it's part of. |
| Org Structure | Department and designation are tracked, not just a name. |
| Communication | Email, mobile, and WhatsApp are all tracked as separate channels. |
| Geographic Mapping | Region- and country-based mapping for territory reporting |
| Activity Management | Tasks, calls, and email activities logged directly against the contact |
| Process Visibility | The contact is visible and selectable during inquiry, quotation, and sales order creation. |
| File & History | Uploads and a full change-history trail are maintained automatically. |

The Contact Process Workflow — seven checkpoints from creation to full usage:
- Create Contact — submit the contact form
- Map Records — link with a Lead and Account
- Capture Details — store communication info and address
- Use in Process — the contact appears automatically as a selectable option in Inquiry and Quotation workflows, removing any need to re-enter contact details deal after deal
- Track Activity — a running customer communication log is maintained
- Maintain History — document attachments and changes are kept permanently
- End-to-End CRM — the result is a full customer relationship view, spanning every deal this person has ever been part of

FAQ
- Can the same contact be linked to more than one account?
The contact form links to a specific account at creation; if the same person represents multiple organizations, best practice is to create a distinct contact record per account relationship to keep activity history clean.
- Where does a contact automatically appear once created?
It becomes selectable during Inquiry and Quotation creation, so reps don't need to search or re-enter contact details for every new deal involving that person.
