Account Management: SAP Integration, Creation & Edit Restrictions
Updated 8/13/20262 min read
Every account in Hoicko CRM is either pushed from SAP via API as the master data source or created in the CRM and routed through KYC approval before becoming active; accounts that originate in SAP are non-editable in the CRM to protect data integrity.
How SAP integration works for accounts:
Hoicko CRM treats SAP as the single source of truth for customer master data. Business partner records from SAP sync into the CRM's accounts list in real time, and each account is visibly tagged with its origin—SAP for accounts pushed from the ERP, or CRM for accounts created directly inside Hoicko CRM. This tagging isn't cosmetic; it determines what you're allowed to do with the record.

Creating a new account manually:
- Go to Accounts → New Accounts.
- Fill in Account Name, Type of Customer, Industry, Payment Terms, Payment Term Description, Email, Phone, Website, Owner/MD Name, Address, City, Zip/Postal Code, Region, Region Name, Zone, UIN No./Tax Registration No., and Country.
- Upload the required files (incorporation / TIN / VAT certificate)—mandatory before submission.
- Optionally add Market Mapping entries.
- Click Submit—the account is created with CRM status and is now eligible to begin the KYC verification process.

Why SAP-origin accounts can't be edited in the CRM:
| Restriction | What It Means |
|---|---|
| Non-Editable Accounts | Accounts created from SAP cannot be modified inside Hoicko CRM. |
| Protected Fields | Mandatory SAP-controlled fields are locked for editing, even by admins. |
| Data Integrity | Ensures the two systems never drift out of sync with each other |
| Access Control | Prevents unauthorized or accidental changes to master records |

This restriction exists because SAP is the authoritative record for anything it owns—allowing edits in the CRM would create two conflicting versions of the truth, and there's no reliable way to know which one is correct. If an SAP-sourced account's information is genuinely wrong, the correction has to happen in SAP itself and flow down through the sync, not be patched over in the CRM.
FAQ
- Can I edit a CRM-created account after submitting it?
Yes, until it's synced to SAP or fully approved—CRM-origin accounts remain editable while pending KYC/approval, unlike SAP-origin accounts.
- How do I know if an account came from SAP or was created in the CRM?
Check the Status column on the Accounts list — accounts tagged SAP are ERP-sourced and locked; accounts tagged CRM were created inside the platform.
